Reporting to the Manager, Human Resources, the Receptionist is the first point of contact for the Montreal office. In addition to Receptionist duties, the incumbent provides administrative support for the Facilities & Office Services team.
Key accountabilities and responsibilities:
◦Assemble and prepare documentation for meetings for distribution in a timely manner
◦Prepare PowerPoint presentations
◦Arrange catering for internal luncheons for business luncheons
◦Arrange meetings and room bookings
◦First point of contact for the office. Attend to visitors and manage inquiries on the phone, face to face and through e-mail.
◦Respond to public inquires with a high level of professionalism
◦Receive and direct calls to appropriate employees
◦Maintain visitor log
◦Provide security access cards.
◦Coordinate packages and couriers (Fed Ex/Purolator, ICS, inter-office mail, letters, and local couriers). Complete all daily waybills
◦Receive and allocate incoming mail; coordinate outgoing mail and mail-outs
◦Assist with Office Services email enquiries/requests
◦Reconcile all invoices for approval
◦Provide support to the Facilities and Office Services department as required
◦Provide other administrative support as required: typing, filing, mailing, photocopying etc.
◦Assist in the maintenance, cleanliness and organization of the entire office area. Ensure all copy areas are equipped with paper supplies including copier paper, letterhead and envelopes.
◦Replenish/order beverage supplies (coffee, tea, water, cream, milk, pop, etc.)
◦Health and Safety responsibilities as required.
◦Other duties and projects as assigned
Education and experience:
◦Must be fluently bilingual
◦Two to four years corporate reception experience.
◦Some post secondary education – Administration
◦Minimum one year experience in an admin support role in an office setting
◦Able to work independently, well organized, customer focused
◦Proficiency in Microsoft Office applications including Word, Excel, and Outlook
◦Can easily adapt to a fast paced and changing environment
